WebConvey Step by Step for Attorney first logon

KINDLY READ THIS DOCUMENT IN ITS ENTIRETY AS IT CONTAINS IMPORTANT IMFORMATION FOR THE WEBCONVEY LOGON FOR THE FIRST TIME.
The following information will assist in the first logon to the new WebConvey application.

Information which appears in the WebConvey Attorney User manual has been included here for the sake of ease.

1. Internet Explorer Version (AN INCORRECT SETTING WILL RESULT IN TIMEOUT ERRORS BEING EXPERIENCED)

If you are running IE Version 6 – the following setting is to be selected
(To check your IE Version : Open Internet Explorer : Select "Help" : Select "About internet explorer" : A dialogue box will display the Internet Explorer Version you are running)

To change the setting as required to run WebConvey using IE Version 6 -

  • right click on the Internet Explorer Icon on the desktop
  • Select "Properties"
  • Select "Privacy"
  • Select "Advanced"
  • "Override automatic Cookie handling" must be selected
  • "Always allow session cookies" must be selected
  • Select OK
 
2. Download of WebConvey (Paragraph 1.2 in the WebConvey Attorney User Manual)
  • Double click on the Internet Explorer icon on your desktop to open your web browser
  • In the address bar, type the WebConvey URL https://Conveyancing.nedsecure.co.za/WebConvey
  • Please ensure this is entered correctly, then press "Enter"
  • The File Download dialog box will open
  • Select "Save this file to Disk"
  • The "Save As" dialogue box opens.
  • The "Save in" should automatically select "Desktop". If any other option is selected for the destination of the "Save In", the selection must be changed to the "Desktop" as follows:
    i. Select "Browse" – this will take you to your file option
    ii. Select the option for "Desktop"
    iii. Click on Select
    iv. The "Desktop" option will be shown in the "Save In" box
    - The "File name" will show "WebConvey.hta"
    - Click Save
    - Click the "Close " button
  • Check the WebConvey icon appears on the desktop
  • If the WebConvey icon does not appear on your Desktop – repeat the steps above – should this still be unsuccessful – please contact the WEBCONVEY HELP DESK ON 0860 266 839

Note to consultant:
Create the shortcut on another PC and copy/email to the PC that is having a problem

3. Access to WebConvey (Paragraph 1.3 of the WebConvey Attorney User Manual)
  • Double click on the WebConvey icon on the desktop,
  • The welcome screen will be displayed
4. Logging on for the first time (Paragraph 1.4 of the WebConvey Attorney User Manual)
  • Enter your logon code – this is the same as the "User Name" which was used on the logon screen in NedConvey attorney link. Please ensure your logon code is inserted correctly e.g. 1234-0001

A NEW PASSWORD WILL BE PROVIDED TELEPHONICALLY BY YOUR ATTORNEY LIAISON OFFICER ON THE MORNING THE MIGRATION BECOMES EFFECTIVE.

NOTE: DO NOT USE ANY OTHER PASSWORD AS THIS WILL RESULT IN DEACTIVATION OF YOUR ACCOUNT.

5. Personal Preferences
In order to set up WebConvey based on your personal preferences, please follow these initial set up steps:
  • Logoff from WebConvey
  • Logon to http://Webconvey.korbitec.com
    i. Select "Download Client side components"
    ii. This process should take no more than 1 – 2 minutes to complete
    iii. When complete – close the site
  • Open WebConvey using the shortcut on the desktop
  • Insert your logon code in the specified field
  • Insert your password in the specified field (ENTER THE NEW PASSWORD PROVIDED)

At this stage it is recommended that you change the password provided – this may be done as follows:

From the Main Menu select "Personal"

  • Select "Password"
  • The "Personal : Password" screen will appear
  • Follow the instructions on screen to change your password

Note to consultant

The Setup >General >Menu is only available if the user is an “Attorney Supervisor”. If the Setup menu is not visible, check with Helpdesk who the Supervisor user is.

  • Select specific set up options
  • From "Main menu"
  • Select "Setup"
  • Select "General".
  • Set correct value for Postages and Petties
  • If you are running a Third Party Conveyancing System (TPCS) for your internal registration process which is able to transfer instructions electronically from WebConvey, the Communication options for TPCS must be selected.

To test the communication with your conveyancing application,

  • Select Utilities
  • Select TPCS
  • Selection option "Test communication with TPCS"

IF YOU ARE UNCERTAIN WHETHER THIS IS APPLICABLE, OR SHOULD THE COMMUNICATION TO THE TPCS FAIL, KINDLY CONTACT YOUR THIRD PARTY VENDOR SUPPLIER.

Note to consultant:

If this test fails and the client is using GhostConvey you can access the Webconvey Support site: http://webconvey.korbitec.com/ and download the WCPT file and then re-register this file in the \GWData\GhostConvey\Programs folder After the first logon to WebConvey, the “red arrow” link in GhostConvey will be deactivated as the importing/exporting of WebConvey matters happens automatically.

6. Storing of documents
  • To select the path for storing your WebConvey documents
  • Select "Preferences"
  • You will be required to complete the box "Local path for storing documents"
  • You may browse for the desired destination, alternatively, select the default setting by entering C:\Program Files\WebConvey\NC\Documents

Note to consultant:

If errors occur regarding the document path it could be due to rights issues on XP or Terminal Server. Change the document path to C:\WebConvey\NC\Documents. You should delete the cookies after changing the path

  • Once the path has been completed, select the "Display Option" tab
  • Read the options carefully, and select the check boxes required – it is recommended that you select "wrap text" in all options so that the reports may be viewed more easily on the screen

Note to consultant:

Check the “Visibly remove items after posting” option as ex NedConvey users are accustomed to the item being removed from the page” If this option is not checked, the item is just “greyed out” on the screen.

Once you have completed the set up above, the following test must be run to confirm that existing loans/data was transferred during the migration process.

  • Search for a current loan
  • Select each tab within the loan and check that the data is complete

Test for new loans or messages

New loans or messages sent by the bank will be reflected by a notification at the top of the Main Menu screen. To check if you are able to accept a new loan and read new messages

  • Click on the notification at the top of the Main Menu screen
  • Check details are updated in WebConvey
  • If you are running a specific application as referred to in "TPCS" above, check that the data has successfully updated in to the TPCS

Note to consultant:

If the loan has not been imported into GhostConvey, go to the loan menu in WebConvey and select Actions. You have the option to “Send loan to third party conveyancing software”. Select the “Send as new loan” option.

NOTE: Printing of documents

  • In order to avoid unnecessary printing, the WebConvey application does not print all documents on acceptance of the loan.
  • Once the loan has been accepted, only the "Instruction to Attorney" and "Loan Summary" documents will be printed

All other documents required may be printed as selected

  • From "Main Menu" – search for the required loan
  • Within the loan – select "Documents"
  • A list of documents will be displayed, select the required documents for printing

Note to consultant:

If there are errors when printing the 1st thing to check is the document path and that VM is running properly. Try changing the document path to C:\WebConvey\NC\Documents and test the VM on the http://webconvey.korbitec.com/ site.
